The Project Assistant is part of the core implementation team for the Tuinuke Pamoja project which aims to improve gender equality in Dodoma region. Tuinuke Pamoja is an ambitious initiative of Aga Khan Foundation and TGNP supported by the Irish Embassy Tanzania. The project is jointly implemented by Aga Khan Foundation, and TGNP

Major responsibilities

  • Participate on the planning the Project activities for the respective District on monthly and quarterly basis.
  • Support on the identification of the informal groups.
  • Support on assessing the training needs of informal groups.
  • Play a major role in strengthening the stability of Informal Groups, and collaboration in the implementation of the identified Gender Equality issues.
  • Maintaining a good working relationship with informal groups, LGAs, AKFT and TGNP.
  • Support on delivering project activities.
  • Provide hands on support to Community Groups to ensure timely and quality activities implementation in the field.
  • Timely flagging to project manager on issues that require immediate attention.
  • Support MERL activities including carrying out data collection.
  • Support on Coordinating field visits for project staff, donors and delegates.
  • Support Community Groups to report on project implementation progress covering activities accomplished, targets reached, and ongoing monitoring information. Identify potential success stories and learning from the field.
  • Promote women/gender mainstreaming and youth inclusiveness within project.
  • Supporting the establishment and implementation of monitoring and supervision mechanisms for the project activities at the community level.
  • Providing up-to-date information on the progress of the project implementation at the community level.
  • Collaboration and in coordination with other AKF, TGNP, LGAs, informal Groups in the project area to harness synergies
  • Building strong relationship with Community Development officers, community leaders and other stakeholders of the project at the district level for better performance and realization of project results.
  • Any other tasks assigned by the Program Manager.

The requirements

QUALIFICATIONS AND EXPERIENCE

  • Diploma in Community Development, social studies, Gender, or any other related field.
  • Minimum 2 years’ experience working in the field to promote gender equality activities through engaging informal groups, community and LGAs and other community structures and resources.
  • At least two years’ experience in working with informal Groups, in implementation of gender equality focused activities.
  • Ability in designing community mobilization, sensitization and awareness raising activities in Gender.
  • Ability to effectively collect and use data.
  • Good written and verbal communication skills and a demonstrated ability to prioritize workloads.
  • Self-motivated, good organization and management skills.
  • Ability to work with multiple tasks, demands and deadlines, with a positive and constructive attitude under minimal supervision.
  • Able to work independently and within a team.
  • Ability and desire to engage with communities and to support informal groups to undertake their activities.
  • Strong interpersonal and team building skills.
  • Excellent verbal and written communication in English and Kiswahili.
  • Computer literate in MS Word, Excel and Power Point and other relevant applications.
  • An unwavering commitment to the protection and safeguarding of others, particularly those in vulnerable situation.

Office Assistant at Aga Khan Foundation

The position

Office Assistant will be responsible for day-to-day Office Administration activities of Tuinuke Pamoja Project, including office cleanliness, store management, front office operation and office logistics

Duties and Responsibilities.

Office Premises Cleaning

  • Utilize AKF’s customized cleaning checklist to perform all tasks to the standards established by the organization.
  • Maintain and ensure all internal and external environment are clean and well maintained. This includes:
  • Dust furniture, equipment, partitions and walls.
  • Clean and disinfect sinks, countertops, floors, toilets, mirrors, tables and chairs
  • Replenish supplies in restrooms, break rooms and kitchen.
  • Sweep, mop, vacuum and/or hand scrub floors using brooms, mops and vacuum cleaner.
  • Empty trash cans and recyclables into disposal areas.
  • Prepare and serve hot and cold beverages to staff and visitors as required.
  • Ensure that water of use in the building is always available and in case of shortage report for delivery to be made.
  • Identify potential safety or maintenance issues and communicate them to the supervisor.
  • Ensure the office is locked and secured after office hours.
  • Report any breakages, repairs that need to be done on office items.
  • Comply with all safety policies and procedures relating to performance of tasks, use of products or supplies at office and incidence reporting.

Reception /Administration Roles

  • Provide admin support to the Project Manager.
  • Checking inventory levels and ordering new supplies in addition to keeping the records updated
  • Physical check incoming materials against purchase orders/invoices and issue GRNs;
  •  Coordinate office maintenance
  • Organizing business travel, itineraries and accommodation for staffs and ensure all payments are initiated in timely manner.
  • Printing and distribution of Tuinuke Pamoja Project reports, documents for internal and external use as directed.
  • Attend to visitors, telephone calls and other related correspondences.
  • Maintain electronic and hard copy filing system including retrieving documents from filing system and handle requests for information and data.
  • Respond, prepare and or modify documents including correspondence, reports, drafts, memos and emails.
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors. Record, compile, transcribe and distribute minutes of meetings.
  • Coordinate and maintain records for staff, telephones, parking.
  • Perform general clerical duties including photocopying, filling and mailing

  • Perform any other duties as assigned by the supervisor (s).

The requirements

  • Diploma or Certificate in Secretarial, Office cleanliness, Environment, customer care or related field
  • Experience in supporting development work and donor supported programs,
  • Capacity to use Computer applications
  • Good communication on both verbal and written and the ability to use both English and Swahili Languages.
  • Basic Administration skills
  • Flexibility and willingness to work long.
  • Attention to details.
  • Ability to organize and prioritize work.
  • Basic logistics knowledge.

Project Finance Officer at Aga Khan Foundation

The position

Major Finance responsibilities

  • Preparation of monthly and quarterly financial reports timely and accurately and providing the Project Manager with information for decision making purposes.
  • Prepare annual and supplementary project budgets and revisions in accordance with program implementation plan.
  • Monitoring of project budget and expenditures to ensure activities are implemented within the approved budget.
  • Custodian of cheque books and other sensitive finance documents.
  • Manage all balance sheet accounts including Travel and program advances issued to staff as per the finance policy. Review of staff retirements for accuracy and validity of receipts and ensure that they are properly recorded into the system.
  • Processing of payments as per AKF policies and Procedures and Donor rules and regulations
  • Ensuring all financial transactions are timely and accurately posted in the accounting system for purposes of generating Project financial reports
  • Ensure timesheets are completed and filed in a timely manner.
  • Facilitate internal and external audits.
  • Prepare monthly funding request for the program and follow up with the country office to ensure that funds are received on time.
  • Maintaining an accurate filing system of all payments and other finance documents
  • Ensure compliance with donor rules and regulations and all statutory requirements.
  • Preparation of monthly bank reconciliation statement for project’s bank account.
  • Any other duties assigned to you from time to time by your supervisor.

Admin Responsibilities

  • Conduct procurements within policy and according to agreed standards, timeliness and quality.
  • Manage the day-to-day administration of the offices in line with the administrative policies and procedures.
  • Proactively conduct negotiations with suppliers and vendors to secure value-for-money in procurements are done in a transparent manner and maintain appropriate relationships with suppliers that exemplify the highest standards of accountability and credibility.
  • Maintenance and manage procurement and supplier’s database that tracks the progression of all purchases and suppliers.
  • Custodian of all procurement records and maintained for office expenditures, receipts, purchase orders and Quote evaluation etc. according to AKF Tanzania and donor policies.
  • Ensure fixed assets are properly managed and fixed asset register is maintained and is up to date.
  • Any other duties assigned by the supervisor that intends to improve the quality of the life for the community we support.

The requirements

Knowledge and Skills

  • A bachelor’s degree in accounting or its equivalent with strong analytical skills.
  • Professional qualification – CPA or ACCA or CIMA will be an added advantage.
  • Minimum of 3 years working experience preferably with a Non-governmental Organization (NGO) dealing with multiple donor funds.
  • Competent in the use of MS Office software (Excel, Word, Access, PowerPoint, etc and any other accounting software).
  • Excellent written and verbal communication skills – proficiency in English and Kiswahili is mandatory.
  • Self-motivated, good organization and management skills including a demonstrated ability to prioritize workloads.
  • Ability to work with multiple tasks, demands and deadlines, with a positive and constructive attitude under minimal supervision.
  • Able to work both independently and within a team, in person and remotely
  • Able to learn from and adapt to complex situations, with a problem-solving and open-minded attitude.

Driver cum Logistics at Aga Khan Foundation

The position

AKF is looking for an enthusiastic and committed Driver cum Logistics to support the project in Dodoma

Responsibilities

  • Safely and efficiently operate the organization vehicles to designated locations as per AKF policies and procedures.
  • Handle various communications e.g. incoming and outgoing mails, and other correspondences, and follow up for action.
  • Coordinate all official trips for maximum efficiency.
  • Maintain vehicles in top-notch condition through regular inspections and upkeep.
  • Communicate effectively with team members to ensure smooth logistics operations.
  • Provide regular reports on vehicles maintenance and fuel consumption.
