DUTIES/RESPONSIBILITIES AND REQUIREMENTS:
- The Administration/Operations assistant will be responsible for opening the office on time during weekdays and ensure that it is locked at the end of the day.
- S/he will receive, regulate and communicate with visitors while portraying DAI’s image and standards being the first point of contact and portraying a high level of efficiency and excellency from the project.
- S/he will be required to type, scan, and mail official documents. while also receiving incoming calls, directing calls to relevant departments, placing outgoing calls efficiently and in a timely manner.
- Managing the cleaners to ensure the office is kept clean and tidy at all times
- Supporting the Regional Coordinator in vehicle logistics, flight and hotel bookings for both internal and external guests
- Support all staff in organizing meetings and for a on behalf of Advancing Youth and across all areas that Advancing Youth operate in the respective region.
- Maintain staff and guests contact lists
- Supporting the Procurement Officer in compiling quotations and bid matrix for procurement items
- Assisting and supporting the Administration and Operation officer on the updating project inventory
- Take minutes/notes during meetings as requested
- Maintains a high standard of clerical support to Admin, Procurement and Technical teams
- Reports to Regional Coordinator and through her/him to the Senior Human Resource and Operations Manager
- Any Other duties as assigned by the supervisor
Required Qualification:
1. A University degree; additional qualification as an Administrative assistant or Secretary will
be a plus
2. A candidate with experience of working in an International organization, a sense of maturity
and good behavior records will be highly considered
3. Proven experience as an administrative assistant or office administration assistant
4. Knowledge of office management systems and procedures
5. Working knowledge of office equipment, like printers and Scanner machines
6. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
7. Excellent time management skills and the ability to prioritize work
8. Attention to detail and problem-solving skills
9. Excellent written and verbal communication skills
10. Strong organizational skills with the ability to multi-task
