POSITION – Administrative Assistant (1)
JOB LOCATION: DAR ES SALAAM TANZANIA

JOB DESCRIPTION:
A: Tax Component
  • Provide administrative support to all staff in the offices to ensure that the company’s activities run smoothly within expected time;
  • Perform administrative duties for several ABA Staff including correspondence and reports, and proofreading typed material, printing and submitting proposals/reports to potential client;
  • Organizing and expediting the flow of work including maintenance of schedules, filing systems, sorting and prioritizing mail, travel arrangements, etc;
  • Assisting Directors and staff members with special projects, training sessions, seminars, marketing and booking appointments;
  • Receiving and assisting visitors and callers, referring them to appropriate individuals or answering their inquiries;
  • Attending meetings as assigned and recording minutes of these meetings; and
  • Performing related work as required.

B: External Consultancy Component
Where appropriate and depending on the Terms of Reference and in consultation with the partners/directors provide accounting consultancy services as may be requested by clients from time to time.
C: Team Management Component
  • Demonstrate high level of Professional etiquette
  • Demonstrate ability to provide counseling (mentoring) and aspiring junior members of the Accounting Department to excel
  • Complete staff performance appraisal for staff members under Finance Department and provide summary feedback to the Partner Responsible for Financial Affairs for appropriate course of action
  • Provide regular feedback to Partners, as the case may be, of progress or any matter for which you are responsible.
D: Client Management Component
  • Act as a point of contact between the Firm and the clients to whom the Firm provides Accounting Function and manage engagement costs, raising fee notes, effectively collecting invoiced fees, agree engagement delivery dates and overall engagement management
  • Draft engagement correspondences, DRAFT Reports for review by the Partner prior to dissemination to clients
  • Keep abreast of key changes in the industry such as: changing legal statutes (tax, etc.); budget sessions; regulator’s pronouncements; IFRS/IAS updates; etc. and be able to provide necessary billable guidance to clients
  • Keep up-to-date with ABA Alliance’s products and services
  • Demonstrate comprehensive understanding of products/services offered by the firm so as to identify and take up opportunities that may arise during the course of working with clients and/or networking
  • Demonstrated ability to generate new businesses to the firm (through networking; identifying prospective business; participation in proposal writing; linkages; etc.)
  • Be responsible to build the Firm’s reputation through quality work, demonstrated technical knowledge and professional experience.

E: Firm’s Management Accounts
  • Be responsible to ensure upkeep of the Firm’s Portfolio of Clients and to ensure Engagement Letters are signed off immediately prior to commencement of any work and that such letters are accompanied with Invoices for interim/initial billings
  • Be able to produce monthly management accounts for Partner’s Meeting within one week of the end of the month to which the report refers

ACADEMIC & PROFESSIONAL QUALIFICATION and EXPERIENCE:
  • Must be a Tanzanian Citizen;
  • Minimum of a Bachelor’s Degree in Business Administration, Public Administration or related field;
  • A minimum of two (2) year relevant experience;
  • One (1) year relevant experience in a professional services environment will be an added advantage; and
  • Excellent in IT Skills i.e. Word, Excel, PowerPoint etc.

A: Tax Component
  • Provide assistances to Seniors and Partners in handling client’s assignments;
  • Research and analysis of tax issues related to business transactions and tax implications of financing techniques for a variety of entities and their affiliates;
  • Demonstrates required knowledge and, in addition, an understanding of client’s organization and business/regulatory environment;
  • Calculating tax liability, ensuring compliance is completed speedily and efficiently, and submitting tax returns and associated documents by the appropriate deadlines;
  • Prepares concise, well written documents using appropriate business and technical language;
  • Preparing and submitting compliance (tax) returns by the deadline
  • Carrying out detailed computations to calculate tax liability and advising on how to minimize clients liability;
  • Providing guidance on indirect taxation issues such as VAT, customs planning etc;
  • Performing related work as required.

ACADEMIC & PROFESSIONAL QUALIFICATION and EXPERIENCE:
The candidate should have the MINIMUM requirements as below:
(i) Must be a Tanzanian Citizen;
(ii) Bachelor’s degree or above in Taxation, Accounting, Finance, International Business Management, Economics, mathematics, statistics or Law with 0-3 years of experience
(iii) Computer literacy and good command of English
(iv) Willingness to learn and use knowledge so gained for the furtherance of self & Firm’s progress
