They will work closely with all departments, contributing to budget control efforts. The ideal candidate should have strong knowledge of procurement, cost management, and asset maintenance, with a proactive, detail-oriented approach in a fast-paced environment. Summary of Key Duties and Responsibilities
Procurement & Cost Management :
- Oversee and manage procurement processes, ensuring the acquisition of goods and services is in line with bank policies and budget constraints.
- Collaborate with department heads to identify cost-effective solutions and negotiate contracts with suppliers.
- Monitor and track expenditures, ensuring adherence to set budgets and cost-saving targets.
- Perform regular analysis of procurement data to identify opportunities for cost reduction and efficient purchasing.
- Ensure Value for Money in all procurements.
Asset & Vehicle Management:
- Maintain a detailed inventory of bank assets, ensuring proper tracking, upkeep, and repair schedules for tools, property, and vehicles.
- Monitor the condition of vehicles and coordinate timely maintenance and repairs to optimize performance and minimize downtime.
- Implement cost-saving measures related to vehicle usage, fuel consumption, and maintenance.
Administrative Support:
- Provide general administrative support to the finance department, including filing, scheduling, and document management.
- Prepare and maintain reports on procurement, cost control activities, and asset management.
- Ensure compliance with internal procedures and external regulatory requirements in procurement activities.
- Serve as a liaison between various departments to coordinate procurement needs and facilitate smooth operational processes.
Vendor & Supplier Management:
- Build and maintain strong relationships with suppliers and vendors, ensuring competitive pricing and timely deliveries.
- Conduct regular assessments of supplier performance to ensure quality, service, and delivery standards are met.
- Coordinate the receipt and inspection of goods, ensuring they meet the required specifications and quality standards.
Budget Tracking & Reporting:
- Assist in the development of departmental budgets related to procurement and maintenance.
- Track and report on budget variances, providing recommendations for corrective actions when necessary.
- Assist in the preparation of financial reports and cost control summaries for management review.
Health & Safety Compliance:
- Ensure that all bank assets, tools, and vehicles comply with safety regulations and undergo regular safety checks.
- Ensure that maintenance activities do not interfere with day-to-day operations and are carried out efficiently.
Collaboration & Communication:
- Work closely with cross-functional teams to understand departmental needs and help facilitate the procurement of materials and services.
- Assist in resolving any procurement-related disputes or challenges promptly and professionally.
Qualifications
- A minimum of Bachelors Degree in Business Administration, Procurement, Finance, or a related field.
- Proven experience in managing budgets and procurement processes.

Purpose of the Role
The Legal Manager, Contracts will play a critical role in overseeing, managing, and negotiating all contracts and legal agreements for Mwanga Hakika Bank. This senior position will require deep expertise in contract law, financial laws, banking regulations, and effective risk management. The role demands a strategic leader who will work closely with the Company Secretary and Head of Legal to ensure the banks legal operations are in compliance with relevant laws and regulations while mitigating potential legal risks. The ideal candidate will have substantial experience in the banking or financial services sector, specifically in managing both general and credit contracts.
Summary of Key Duties and Responsibilities
Contract Drafting, Review, and Negotiation:
- Lead the drafting, review, and negotiation of a wide range of contracts, including commercial, credit, and financial agreements, ensuring compliance with all relevant laws, regulations, and business objectives.
- Collaborate with internal stakeholders (e.g., finance, risk, compliance, product teams) to align contracts with business goals and regulatory standards.
- Advise the Company Secretary and Head of Legal on all contractual matters, identifying potential risks and recommending appropriate solutions.
- Oversee the preparation and negotiation of general contracts, ensuring alignment with both legal and business requirements.
- Participate in negotiations for complex contracts, working with senior management and external advisors to ensure favorable outcomes for the bank.
Legal Risk Management & Compliance:
- Manage the legal risk associated with contracts, particularly in the context of credit and commercial agreements, ensuring the banks interests are protected and financial risks minimized.
- Regularly review and update contracts to comply with evolving banking regulations and industry standards.
- Serve as the key point of contact for all contract-related matters, providing ongoing legal support and guidance to various departments.
- Assist in resolving contract disputes, working with the legal team to negotiate, mediate, and settle issues in a timely and cost-effective manner.
Contract Management & Administration:
- Oversee the administration and storage of the banks contract database, ensuring contracts are well-organized, properly filed, and easily accessible.
- Ensure that all contracts are timely executed, renewed, or terminated as appropriate, maintaining an accurate and up-to-date contract register.
- Act as the custodian of the banks contracts, maintaining their integrity and compliance with legal and regulatory standards.
- Collaborate with the Company Secretary and Head of Legal to provide guidance on the effective execution of contracts and to streamline processes.
Training, Advice, and Stakeholder Engagement:
- Provide training and guidance to internal stakeholders (e.g., legal, finance, and operations teams) on best practices in contract management and compliance.
- Prepare legal opinions and advice on the interpretation and implementation of contracts, including for new products or banking innovations.
- Support the development of policies and procedures around contract management, advising business units on the legal aspects of their operations.
Dispute Resolution & Advisory:
- Play a key role in dispute resolution, particularly in cases related to contract performance, credit arrangements, or regulatory compliance.
- Offer strategic guidance to senior management on mitigating legal risks, handling contract-related litigation, and ensuring adherence to industry-specific regulations.
Qualification
- Bachelors degree in law (LL. B), with a masters degree or professional qualifications (e.g., LLM, CCL) considered an advantage.
- Must be a registered Advocate.
- In-depth understanding of banking regulations, financial laws, and risk management principles in the context of contracts.
- At least 5 years of experience in legal contract management, ideally within the banking or financial services sector.
- Significant experience in drafting and negotiating both general contracts and credit agreements, particularly those related to financial instruments, loan documentation, and compliance.
